Terms & Conditions

Terms of Service & Booking Agreement

The legal terms governing your use of Airnexa's travel booking services. Please read carefully before booking.

1. Acceptance of Terms

By accessing this website, calling our reservation line, or booking travel through Airnexa("Agency," "we," "us," "our"), you agree to be bound by these Terms and Conditions ("Terms"), our Privacy Policy, and the Disclaimer.

If you do not agree to these Terms, do not use our services. We reserve the right to modify these Terms at any time. Continued use after changes constitutes acceptance.

2. Agency Relationship & Role

Independent Travel Agency

Airnexa is an independent online travel agency. We are not an airline, not owned by any airline, and not affiliated with any specific carrier. We act as your agent to search, book, and manage travel arrangements with third-party suppliers.

Contract of Carriage

Your contract for air transportation is with the operating airline, not with us. The airline's Contract of Carriage, Conditions of Carriage, and applicable tariffs govern your flight. We strongly recommend reviewing the carrier's terms before travel.

No Warranty of Service

We do not warrant or guarantee airline schedules, on-time performance, baggage handling, seat assignments, or any carrier-provided service. We are not liable for airline operational decisions, weather delays, air traffic control, or force majeure events.

3. Booking Process & Confirmation

Quote vs. Booking: A fare quote is not a confirmed booking. Quotes are valid only at the time provided and subject to availability until ticketed.

Ticketing: A booking is confirmed only when (a) full payment is received, (b) the airline issues an e-ticket number, and (c) you receive a confirmation from us with the ticket number.

Passenger Responsibility: You must provide accurate legal names (matching government ID), dates of birth, gender, and contact information. Errors may result in denied boarding or change fees.

Special Requests: Seat assignments, meals, wheelchair assistance, and other requests are forwarded to the airline but not guaranteed. Confirm with the carrier at check-in.

4. Pricing, Fees & Payment

Total Price Composition

The total amount charged includes:

  • Base airfare (set by carrier)
  • Government taxes & fees
  • Carrier-imposed surcharges (fuel, security, etc.)
  • Airnexa service fee (disclosed before payment)

Additional Charges (Not Included)

  • Checked/ carry-on baggage fees (carrier policy)
  • Seat selection fees (carrier policy)
  • In-flight services, WiFi, priority boarding

  • Airport taxes collected locally (rare)

Price Changes: Fares are not guaranteed until ticketed. If the fare increases before ticketing, we will contact you for approval before proceeding.

Payment: We accept major credit/debit cards via PCI-DSS compliant processors. Full payment is required at booking. We do not store full card numbers.

Currency: All prices in USD unless otherwise stated. Foreign transaction fees are imposed by your card issuer, not by us.

5. Changes, Cancellations & Refunds

Airline Fare Rules Govern

All changes and cancellations are subject to the fare rules of your specific ticketand the operating carrier's policies. These rules vary by fare class, route, and airline. Our specialists will advise applicable rules at booking.

Types of Changes

Voluntary Changes

  • Date/time/routing changes per fare rules
  • Name corrections (typos only, not transfers)
  • Cabin upgrades (subject to availability)
  • Change fees + fare difference apply

Involuntary Changes (Airline-Initiated)

  • Schedule change > 2-4 hours (varies by carrier)
  • Flight cancellation by airline
  • Aircraft substitution
  • Typically: rebook on next available flight or refund

Refunds

Refundable Fares

Full or partial refund per fare rules, minus agency service fee and any airline penalties.

Non-Refundable Fares

No refund for voluntary cancellation. Value may be retained as airline credit (minus fees) per carrier policy. Government taxes may be refundable.

Airline-Initiated Cancellation

Full refund to original payment method per DOT/EC 261/UK 261 regulations, including non-refundable fares.

Agency Service Fees: Our service fee is non-refundable once booking is ticketed, as the service (search, booking, ticketing, confirmation) has been performed.

6. Travel Documents & Entry Requirements

Your Responsibility: You are solely responsible for obtaining and carrying all required travel documents: valid passport (6+ months validity typically required), visas, ESTA/ETA, vaccination certificates, and any other entry/exit requirements.

Information Accuracy: We provide general guidance only. Entry requirements change frequently. Verify with official government sources (e.g., travel.state.gov, embassy websites) before travel.

Denied Boarding/Entry: If you are denied boarding or entry due to insufficient documentation, the airline's Contract of Carriage applies. We are not liable for resulting costs, including return flights, accommodations, or visa expediting fees.

Name Match: The name on your booking must exactly match your government-issued ID. Middle names are not required but must match if included.

7. Baggage

Baggage allowances, fees, and restrictions are set by the operating carrierand vary by fare class, route, frequent flyer status, and aircraft type.

We recommend checking the carrier's website for current baggage policies before packing. Pre-paying for bags online is often cheaper than airport rates.

Lost/Damaged/Delayed Bags: Claims must be filed directly with the airline at the airport (Property Irregularity Report). We will assist with follow-up but the carrier is solely responsible per Montreal Convention / DOT rules.

8. Limitation of Liability

Important Limitation

To the maximum extent permitted by law, Airnexa shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to: lost profits, lost business opportunities, missed connections, vacation time lost, emotional distress, or any damages arising from airline operations.

Maximum Liability: Our total liability for any claim arising from your booking shall not exceed the total amount you paid to us for the affected booking (excluding pass-through taxes and carrier fees).

International Conventions: For international travel, carrier liability for death/injury, baggage, and delay is governed by the Montreal Convention (1999) or Warsaw Convention, which may limit recovery amounts.

Force Majeure: We are not liable for failures or delays caused by events beyond our reasonable control: weather, natural disasters, strikes, government actions, war, terrorism, pandemics, air traffic control, or technical failures of third-party systems.
